Team & Executive Assistant – full-time position, starting date as soon as possible

Job Description

As a Team Assistant, you will be responsible for:

  • Scheduling appointments and making business travel arrangements for the team.
  • Acting as a Personal Assistant to Directors of the company.
  • Preparing various document drafts, reports and analyses on request.
  • Providing general administrative support to the team.
  • Ensuring communication within the company as well as with the company’s clients and business partners, by phone, fax, or email.
  • Providing support for marketing and company events (conferences, regional meetings, team events, etc.).
  • Performing basic HR admin functions (e.g., supporting the recruiting process, facilitating mandatory medical services for employees).
  • Facilitating liaison with colleagues from local and international offices.
  • Translating official documents.
  • Providing office supplies for staff and maintaining adequate stocks, including ordering new supplies and identifying new suppliers.
  • Receiving and screening communications (calls, mails, correspondence) and proposing relevant next steps.
  • Managing and updating the company's client database.
  • Keeping track of incoming and outgoing business correspondence and documents (keeping an in/out register, archiving documents, etc.).
  • Printing, photocopying, shredding, and binding company documents (reports, presentations) in line with the company’s standards.
  • Organizing and supporting protocol activities.
  • Providing a professional welcome to visitors.

Qualifications

  • Have a university degree and at least 1 year of relevant professional experience
  • Display tact and discretion, as dealing with confidential information is an ongoing activity
  • Have excellent command of Romanian and English languages, both written and verbal
  • Have excellent MS Office skills (Outlook, Word)
  • Be able to maintain a timely and efficient communication process with the management of the company
  • Possess strong time management and organization skills
  • Be able to work autonomously, completing tasks with minimal supervision and within strict timelines
  • Enjoy paying attention to details
  • Aspire for a high level of accuracy and quality of work
  • Prove excellent communications skills
  • Be flexible, self-driven, pro-active and dynamic
  • Be able to work in a professional manner, even when under pressure

Previous professional experience in multinational companies that involves dealing with senior/ top management is an advantage.
